Why connectivity is a service problem
Peak Saturday is when neighbourhood fibre, festival Wi-Fi, and hotel guest networks fail. If the till becomes a brick, you either go to handwritten KOTs (and re-key later) or you stop taking cards. Both leak money and accuracy. Cloud POS is useful because menus, tax, and reporting live in one place. It is a liability if “cloud” means the cashier cannot open a check without a live WAN.
Desktop-only towers in a cupboard fail a different way: they survive the ISP, then die in a disk, a Windows update, or a store that cannot be cloned to the next outlet. Hybrid is the practical middle: keep a local path for service, keep the cloud for the group.
What should continue during an outage
Ask vendors to demonstrate these in person. Do not accept a slide that says “offline mode” without a ticket on the board.
Must-continue (service)
Open and close checks. Add items and modifiers. Apply the tax you already configured. Print or display a KOT if the kitchen still needs a chit. If these stop, you are not in hybrid POS — you are in a cached brochure.
Should-continue (kitchen)
Tickets already on the KDS should not vanish. New tickets should still reach the line if the kitchen screen talks to the same local path as the till. If KDS is a cloud-only TV, the line goes dark even when billing still works.
Often deferred (group cloud)
Live HQ dashboards, other-outlet stock, and some guest CRM lookups may wait until sync. That is acceptable if the floor knows it. It is not acceptable if the cashier cannot take the next order because a loyalty API timed out.
Payments are a separate failure domain
Card and UPI rails have their own offline rules. A POS that can still build a bill may still fail to capture a card if the payment terminal needs the network. Do not conflate “POS offline” with “every tender still works.” On a demo, pay with the same devices you will use on Saturday.
What happens on sync
When the WAN returns, tickets, voids, and inventory movements should reconcile without duplicating KOTs or losing a cash drawer session. Ask: who sees conflicts, how are duplicate tickets prevented, and can a manager replay the gap? If the vendor cannot show a conflict case, you will invent one during a real outage.
Operational risks operators underestimate
- Two cashiers take the same table because live table status was cloud-only.
- Kitchen fires twice because a ticket queued locally and again after sync.
- Inventory looks fine in HQ until the delayed decrement lands and you 86 an item too late.
- A manager voids on a phone that is still online while the till is offline — two sources of truth.
Vendor evaluation checklist
- Unplug the WAN (or disable Wi-Fi) with a live check open. Can you still add items?
- Does a new ticket appear on the kitchen display or printer without the internet?
- What payment methods still complete? Which fail closed?
- After reconnect, are tickets duplicated, missing, or correctly merged?
- What can HQ not see until sync, and is that documented for managers?
- How long can the local path run (hours of service) before it must phone home?
